Privacy Policy.
This Privacy Policy explains how Bookify Global Services LLP (“Bookify”, “we”) collects, uses, stores and protects information you provide when using PractEase. This policy is consistent with the principles of India’s Digital Personal Data Protection Act, 2023 (“DPDPA”).
1. What we collect
Information you provide: firm name, your name, email, phone number; client information you enter (GSTIN, PAN, contact details, tasks, invoices, documents); team-member details for users you invite to your firm.
Information collected automatically: usage data (which pages you visit, which features you use), device and browser information, IP address, log timestamps. We use this for product analytics, security, and debugging only.
What we don’t collect: we do not collect or store payment card details — those go directly to Razorpay. We do not use third-party advertising trackers, social-media pixels, or session-replay tools.
2. How we use your data
We use your data only to:
- Provide, maintain and improve PractEase
- Process your subscription payments (via Razorpay)
- Send you service-related communications (account activity, security alerts, billing notices)
- Send you product updates and tips, where you have opted in (you can unsubscribe any time)
- Respond to your support enquiries
- Comply with legal obligations and enforce our terms
We do not sell your data, share it with advertisers, or use it to train machine-learning models without your explicit written consent.
3. Sub-processors
We share data with these sub-processors only to the extent strictly necessary to provide the service:
- AWS (Mumbai, ap-south-1) — hosting and storage
- Supabase — managed database and authentication, running on AWS Mumbai
- Razorpay — payment processing
- Resend — transactional email delivery
- Anthropic — AI Chat, AI Insights, Morning Brief and AI Document Vault features (Pro plan only). Content sent for AI processing is not used to train Anthropic’s models.
- AiSensy — WhatsApp Bulk Notify (Pro plan only)
All sub-processors are bound by data-processing agreements consistent with this policy.
4. Where your data is stored
All customer data is stored on AWS Mumbai (ap-south-1). Your data does not leave Indian servers. The only exception is when AI features (Pro plan only) are used — in that case, the specific input you submit may be transmitted to the AI provider for processing, then discarded.
5. How long we keep your data
We retain your data for as long as your account is active. After you close your account, we retain backups for up to 30 days (to allow account restoration if requested) and then permanently delete your data, except where we are required by law to retain certain records (for example, GST invoice records).
6. Your rights
Under the DPDPA and our own commitments, you have the right to:
- Access — download your data at any time from your account settings
- Correct — edit your data directly in the product, or email us for help
- Erase — close your account; we delete the data within 30 days
- Withdraw consent for product communications (the unsubscribe link is in every marketing email)
- Object to specific processing — contact us
- Lodge a complaint with the Data Protection Board of India once it’s operational under the DPDPA

7. Cookies
PractEase uses essential cookies only — those required for the product to function (authentication, session management). We do not use advertising or analytics cookies. The Aria chat widget on the marketing site stores its conversation history locally on your device only (not on our servers).
8. Security
We use industry-standard security practices: TLS 1.3 in transit, AES-256 at rest, row-level data isolation, bcrypt password hashing, and SOC 2 Type 2 certified infrastructure. For full details see our Security Policy.
9. Children
PractEase is intended for use by businesses and is not directed at children. We do not knowingly collect data from anyone under 18.

11. Changes to this policy
We may update this policy from time to time. Material changes will be announced via email and on this page at least 14 days before they take effect.
